Back officeKnow what you bought, what you used and what you owe
The back office is where small properties lose money quietly. This part of K2 Cloud PMS makes it visible.
Purchasing and store stock
Departments send a request for what they need. The store turns approved requests into purchase orders for your suppliers. When goods arrive, you receive them against the order, note any shortfall, and stock is updated with the actual quantity and price.
- Item lists and separate stores for kitchen, housekeeping and maintenance
- Issues and transfers between stores, each with a record
- Minimum-stock alerts before you run out of a staple
- Physical stock count and adjustment with reasons
- Purchase returns and supplier-wise history
Accounts and cash
Sales from rooms and outlets flow into your accounts as they happen. Record expenses, keep a petty-cash book for small daily spends, and follow money owed to suppliers and by companies that pay on credit.
- Ledgers, vouchers, bank and cash books
- Tax reports that follow the way you invoice
- Expense entry with approvals for larger amounts
- Multi-currency billing for foreign guests
Staff, attendance and payroll
Keep employee records, shifts and leave in one place. Attendance can come from a biometric device, and payroll is calculated with provident fund and ESI, salary advances and other deductions. Payslips are generated for each month.
Reports owners actually read
Instead of waiting for a monthly statement, look at revenue by department, purchase against consumption, and collections against outstanding bills. Export any report to Excel or PDF for your accountant.
Assets such as furniture and equipment can be listed with their maintenance dates, so repairs are planned rather than remembered.
